How 3PL Businesses Can Better Manage Change?

Change is so difficult!

Many businesses still keep this idea, that’s why they develop slowly even bankrupt. Not only that, some businesses still maintain the working style “If it’s not broken, don’t try to fix it”. However, the effects of the Covid pandemic as well as the development of e-commerce have awakened many businesses that are still slow to change. Presently, the problem is not whether to change or not, but how to manage those changes for the better and to get everyone’s consensus.

What is the current state of 3PL businesses?

The past 2 years can be said to be a great opportunity for 3PL businesses. Offline activities are limited, online activities prevail. However, this also gives challenges to scaling and meeting consumer demand.

3PL businesses need to consider changing their technology and software to better meet the needs of their warehouse customers. However, the change also encountered some major barriers from internal employees’ psychology. Therefore, 3PL businesses need to build a more transparent and scientific implementation process.

WMS implementation process of 3PLs

Implementing a warehouse management system (WMS) is one of the biggest and most important changes for warehouses. For the most effective implementation, businesses need to follow these steps:

Step 1. Identify a clear owner

It is only when there is a clear internal owner that the implementation of the software is truly successful. Because when there is a department in charge, they will be the ones who really understand the system and participate deeply in the process until completion.

Step 2. Seeking feedback from Opponents

When applying new technology to the warehouse, there will always be team members who resist change. So it’s important to find out why they don’t accept change. This not only helps businesses see different points but also helps opponents to better understand the system when their concerns are answered satisfactorily.

Step 3. Defining Objectives (KPIs)

The best way for members to see the benefits of the new solution is to show them the actual results, starting with setting KPIs for this change.

Besides, enterprises need to go into more detail about areas for improvement (e.g. select accuracy, productivity, pick time, inventory accuracy) and look for improvement goals that can be improved.  Once people understand the desired outcome, they will accept the changes necessary to achieve the common goals.

Step 4. Building a project plan

Building a project is drawing an overview of what you need to do with a particular timeline. Making sure that, you have key tasks, project milestones, expectations, and dates that need to be completed. For each job, there should be a main department in charge, so that they can grasp the technology throughout the implementation process.

Step 5. Developing an internal communication plan

By communicating earlier, more often, employees will feel that they are part of the solution and will have time to learn and understand the goals of implementing WMS.

In many cases, employees often feel like the WMS application will interrupt or replace their work, which leads to fear. Therefore, let’s communicate more, send the message that WMS will help them manage their work more scientifically, make their work easier, and allow more growth in the future.

Step 6. Do a software launch

After implementing the WMS there should be a trial period to see how the software is working. During this testing phase, all project members participate in the evaluation, provide feedback, and help solve problems that the software is facing.

Enterprises often hold weekly or even daily meetings for everyone to participate in the assessment. After testing with all project members, if you see the software with no problems, you can be confident this product is almost done.

Change is hard but you can make it easier by following the simple steps above. A working process with full steps will help businesses implement WMS most effectively.
